Job Purpose:
Provide support to the Procurement/ Purchasing manager in developing, maintaining and reviewing procurement guidelines, procedures and policies. Responsible for coordinating and assisting with all procurement initiatives and activities, providing support for procurement projects across all functions, negotiating new agreements and renegotiating existing agreements..

Accountabilities:

  • Comply with internal procurement systems and processes and ensure compliance across the organisation
  • Handle and monitor claims to vendors for defective or missing parts
  • Negotiate improved procurement terms (quality, price, payment terms, delivery & service) with suppliers and sub-contractors
  • Maintain complete updated purchasing records/data and pricing in the system
  • Calculate costs of orders, and charge or forward invoices to appropriate accounts
  • Review PR’s list daily, generate PO’s on a timely manner, follow up on shipments, and inform warehouse on material delivery
  • Collaborate with key persons to ensure clarity on specification and expectation of requester. Coordinate with end user for technical approval of the material/spares prior to its procurement, obtain technical confirmation prior to PO release
  • Prepare purchase orders and send copies to suppliers and requester
  • Determine if inventory quantities reached reorder limit, order materials when necessary so no stock outs occur
  • Respond to, and inform internal customer and supplier about order status, changes, or cancellations
  • Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems
  • Review requisition orders in order to verify accuracy, terminology, and specifications
  • Compare prices, specifications, and lead time in order to determine the best bid among potential suppliers
  • Check shipments upon receipt to ensure order is complete with no missing, damaged or defective item & approve invoice for payment

Job Requirements

Education:                  

University degree in Business

Experience:                

3-5 years of experience

Skills

  • Working experience with procurement systems and supplier negotiation.
  • High level of computer literacy, with specific requirements for Access databases, Word, Excel and Outlook.
  • Strong Interpersonal and presentation skills.
  • Time management and organisational capabilities.

Languages

Excellent command of English, Conversational Arabic, Conversational Hindi / Urdu
